Best HR Analytics Software: What Data It Uses and Whether It Is Worth the Investment

Few purchases in HR are as confusing as picking the best HR analytics software. Every vendor promises insight, but two practical questions decide whether a tool earns its place: what data does it actually use, and is it worth the money?

What data does HR analytics software use?

It depends on the product. Work analytics tools use time and activity data from the devices and applications employees already use, such as how time is split between focused work, meetings and idle periods. HR reporting layers use records from an HRIS: headcount, hiring dates, turnover, leave and role changes. The strongest setups combine both, so people data and work data can be read side by side.

Whatever the sources, ask vendors three things: how data is stored and protected, who inside your company can see it, and how long it is kept. Tell employees what is collected and why before anything is switched on.

Is HR analytics software worth the investment?

It is when the data changes a decision. The cost of getting people decisions wrong is large: Gallup's State of the Global Workplace 2026 report found global employee engagement fell to 20% in 2025, costing an estimated $10 trillion in lost productivity. If a tool helps managers spot overload early, rebalance work and keep good people, it can pay for itself in retained talent and fewer missed deadlines.

It is not worth it when it only produces dashboards nobody opens. Deloitte's 2015 Global Human Capital Trends survey found 75 percent of companies thought people analytics was important, yet only 8 percent felt strong in it. The gap is usually adoption, not technology.

A quick test before you buy

  • Can a manager get a useful answer in the first week?
  • Are reports readable by someone who is not an analyst?
  • Can you show employees exactly what is measured?
  • Is the price clear at your real headcount?
